1.Definitions
For the purposes of this Agreement, the following definitions shall apply:
Client: The term "Client", referred to as ‘you’ or ‘your’, refers to the Individual or entity
who is paying for the tuition service provided by the Tutor. In the context of this Agreement, the Client engages the Sarah Bridge Tutoring service to receive tutoring services for the Student.
Tutor: The term "Tutor" refers to the individual who is introduced to the Client by the Employment Business, Sarah Bridge Tutoring, for the purpose of providing tutoring services to the Student. The Tutor is the independent contractor engaged by the Client to deliver the tuition services.
Student: The term "Student" refers to the individual who is receiving the tuition services provided by the Tutor. The Student is the recipient of the educational support and guidance offered by the Tutor under the arrangement facilitated by the Employment Business and paid for by the Client.
Employment Business: The term "Employment Business," referred to as ‘we’, ‘our’, or ‘us’, refers to Sarah Bridge Tutoring, the tuition business entity organising and facilitating the connection between the Client and the Tutor. The Employment Business serves as an intermediary, connecting Clients with suitable Tutors for tutoring services.
2. Acceptance of Terms
Please read these Terms and Conditions carefully before using our tuition services.
These Terms govern your access to and use of the tuition services provided by Sarah Bridge Tutoring.
By accessing or using our tuition services, you acknowledge that you have read, understood, and agreed to these Terms, and you represent that you are of legal age to enter into a binding contract. If you are accepting these Terms on behalf of a minor, you acknowledge that you are the legal guardian or parent of that minor and accept full responsibility for their compliance with these Terms.
Any changes or modifications to these terms and conditions are not valid unless they are officially approved in writing by Sarah Bridge Tutoring.
3. Client Fees and Payment
3.1. Payment is made through the Tutorbird management system or Stripe.
3.2. The initial lesson can be booked and paid for as a stand-alone lesson and must be paid at least 24 hours before the lesson is due to take place.
3.3. All lessons after the first session are to be booked and paid for monthly in advance . Clients will receive a monthly invoice at the agreed rate for all lessons booked in the following month.
3.4. Payment is required by the 1st of each month, unless an alternate due date has been previously arranged. For example, payment is due by 1st September for lessons booked in September.
3.5. Payment requests will always come through Sarah Bridge Tutoring on behalf of the Tutor and never from the Tutor themselves.
3.6. Timely payment is required to secure lesson slots. Failure to make payment by the due date may result in the Client’s slot being allocated to another Client on the waiting list.
3.7. We reserve the right to impose a ‘late payment’ fee of £10 on a monthly block of lessons if a payment is 3 days late or more.
3.8. We reserve the right to change our pricing and payment terms at any time, with notice provided to the Client.
3.9. There are three ways to make a payment: bank transfer, Paypal or card payments through Stripe Inc.
4. Making a Payment via bank transfer
4.1. If making payment via bank transfer, it must be made to the following account, with the Student's name as the reference:

4.2. If payment is not made by the 1st of the month, a payment reminder will be automatically sent after 2 days.
4.3. If payment is not made by the 4th day of the month, an automatic ‘late payment’ fee of £10 will be added.
5. Card Payments Through Stripe Inc.
5.1. Clients can choose to make card payments through Stripe.
5.2. Clients will receive an invoice before the due date.
5.3. Clients are required to pay clicking the ‘Pay now’ button and entering their card details.
5.4. If payment is not made by the 1st of the monthe, a payment reminder will be automatically sent after 2 days.
5.5. If payment is not made by the 4th day of the month, an automatic ‘late payment’ fee of £10 will be added.
5.6. When Clients authorise Stripe to make payments to us, it allows this application to connect with the Client’s account on Stripe.

6. Payments via Paypal
6.1. Clients can choose to make card payments through Paypal to sarah.bridge@hotmail.co.uk
6.2. Clients will receive an invoice before the due date.
6.3. Clients are required to pay clicking the ‘Pay now’ button and entering their card details.
6.4. If payment is not made by the 1st of the monthe, a payment reminder will be automatically sent after 2 days.
6.5. If payment is not made by the 4th day of the month, an automatic ‘late payment’ fee of £10 will be added.
7. Tutor Allocation and Scheduling
7.1. When the Client makes their initial enquiry, a Tutor will be allocated to them, and a specific weekly time slot will be assigned to the sessions.
7.2. The arranged sessions will appear in the Tutorbird calendar.
7.3. The designated Tutor commits to being available for the full duration of the agreed
-upon time slot.
8. Holiday Lessons
8.1. Lessons are term-time only; therefore, our usual schedule does not apply to school holidays. However, holiday lessons may be scheduled upon Client request, subject to the Tutor's availability.
9. Punctuality
9.1. If a Student arrives late to their scheduled lesson, the missed time will not be made up afterward. The lesson will end at the originally scheduled time.
9.2. If a Student does not show up to a 1:1 lesson at the agreed time, a reminder email or message will be sent to the Client.
9.3. If a Student does not attend a group session, the Tutor will post a reminder message in the Google Classroom and/or the designated Whatsapp group.
9.4. It is the Client’s responsibility to check the calendar of scheduled lessons and ensure that the Students attends on time.
9.5. Should the Tutor be delayed for a scheduled lesson, the lesson will be extended, if feasible, to make up for the lost time. If extending the current session is not possible, the missed time will be added to another lesson agreed upon by both parties.
10. Tutor's Obligation for No Shows
10.1. If a Student does not attend a 1:1 lesson at the agreed time, a reminder message will be sent to the Client by the Tutor.
10.2. Tutors will keep the online meeting open for the first half of the missed lesson. If no contact is made with the Client by that time, the meeting will be closed, and the lesson will still be charged at the agreed rate.
10.3. Tutors will wait for students to show up for face to face lessons for the first half of the missed lesson. If the student does not arrive, the tutor will embark on their journey home, and the lesson will still be charged at the agreed rate.
10.4. It is the Client’s responsibility to check the calendar of scheduled lessons and ensure that the Student attends.
11. Cancellation Policy
11.1. Cancellations by the Client must be kept to a minimum to maximise the Student's learning potential.
11.2. If a Client wishes to cancel a 1:1 lesson, they must notify the Tutor a minimum of 24 hours
before the lesson start time. Failure to provide this notice will result in the lesson being charged at the agreed rate.
11.3. Only one cancellation per half term is permitted for 1:1 tuition; subsequent cancellations with a half-term period will result in full fees being charged.
11.4 Group lessons and courses are booked and paid for in blocks. Refunds will not be provided if the Student is unable to attend one of the group lessons. Lesson material and a recording of the lesson can be requested and completed in the Student’s own time.
11.5. Term Dates for Academic Year 2023/2024:
Autumn Term: 2nd September – 21st December, 2024 (Half term: October 26th – 3rd November 2024)
Spring Term: 6th January - March 28th, 2025 (Half term: February 15th – 23rd, 2025)
Summer Term: April 14th – 25th July, 2025 (Half term: May 24th - June 1st, 2025)
12. Repeated Late Cancellations or No-Shows
12.1. We reserve the right to give away the tuition slot if there are repeated cancellations or no-shows.
13. Tutor Cancellations
13.1. The Tutor agrees to provide tuition for the full duration of the agreed-upon time slot.
13.2. If a Tutor is obliged to cancel a 1:1 lesson, they will offer to rearrange the lesson to a mutually convenient day/time.
13.3. If it is not possible to rearrange then credit will roll over to the next month’s invoice.
13.4. If a Tutor is obliged to cancel a group lesson or course, another Tutor may provide cover, or an alternative lesson slot may be offered. Payments may roll over to the next month if no cover is available.
13.5. The Tutor must give 24 hours’ notice where possible when cancelling a scheduled lesson.
14. Holidays
14.1 The “Client” must provide at least 2 weeks notice for any booked holidays that affect tuition, otherwise lessons are chargeable at the full rate.
14.2. The “Tutor” must provide at least 2 weeks’ notice for any booked holidays that affect tuition and a cover tutor will be offered the time period that they are unavailable.
15. Client Obligations
15.1. The Client should provide a quiet environment for the Student to access their lessons from.
15.2. The Client is responsible for ensuring that the Student has the appropriate equipment for each lesson, including a pen, pencil, paper and a scientific calculator (if in a Secondary maths lesson).
15.3. The Client is responsible for making sure that the Student is logged into online lessons at least 5 minutes before the scheduled start time to ensure they are ready to start on time.
15.4. Clients will receive a recurring lesson link before the first online lesson, which will be used to access each subsequent lesson. It is the Client’s responsibility to save the lesson link and have it accessible to the Student at the start of every lesson.
15.5. Clients will always be notified if a lesson link changes. It is the responsibility of the Client to make sure that they use the correct lesson link and that they regularly check emails from Sarah Bridge Tutoring in case there are any important updates relating to lesson links/start times.
15.6. If a student arrives at an online lesson late because they have used the incorrect link, extra time will not be given unless the link was not shared with them by the Tutor via email or message.
15.7. Students are expected to have their cameras on for at least the first few minutes of each lesson for safeguarding purposes.
15.8. Any problems during a lesson must be reported to the Tutor immediately.
15.9. Clients may request specific topics or objectives for 1:1 lessons with 48 hours' notice for proper tutor preparation.
15.10. For Students under 18, an adult must be present in the house during lessons for safeguarding reasons.
15.11. Clients must ensure that students are fully dressed during all lessons.
15.12. Clients may request for weekly homework to be supplied by the Tutor. Homework will be live marked by the Tutor during the following lesson and verbal feedback will be given to the Student.
16. Tutor Obligations
16.1. Tutors agree that all lessons will be delivered to Students at a professional standard.
16.2. Tutors are responsible for planning and delivering lessons which are tailored to the individual needs of the Student.
16.3. The Tutor will deliver online lessons via their choice of platform at mutually agreed times.
16.4. Tutors are expected to have their cameras and microphones on at all times during the lesson.
16.5. Tutors reserve the right to report behavioural problems during lessons to the Employment Business and may refuse to teach students with unacceptable behaviour.
16.6. Tutors must report any concerns about a Student’s safety or wellbeing to the Employment Business, following the "Keeping Children Safe in Education" guidelines.
16.7. The Tutor will provide weekly homework if requested by the Client.
16.8. Homework will be live marked by the Tutor during the following lesson and verbal feedback will be given to the Student.
16.9. Tutors agree that the Employment Business will share Tutor information with potential
Clients.
16.10. Tutors will provide weekly feedback to the Client. This may be verbal or written.
17. Additional Services
17.1. Paid "Parent’s Meetings" with the tutor can be arranged at mutually convenient times.
17.2. Homework and home-learning packages can be requested at an additional cost.
17.3. Group lessons may be recorded for later viewing by students who are absent so that they can complete the lesson in their own time. All cameras blacked out before sharing.By agreeing to the Terms and Conditions, Clients give their permission for Student’s to be recorded and shared if necessary.
18. Private Arrangements
18.1. The Tutor is prohibited from independently arranging tuition with Clients introduced by Sarah Bridge Tutoring.
18.2. In the case that the Tutor violates the above, the Tutor must reimburse Sarah Bridge Tutoring for all payments received from the Client or new Client without any deductions.
18.3. Communication between the Tutor and Client must be done via the Tutor’s designated tutor email or a Whatsapp group set up by the Tutoring Business. Personal numbers and email addresses must not be shared by the Tutor.
18.4. All cancellations and rescheduling must be confirmed with the Tutoring Business. Please copy Sarah into any communication relating to cancellations, rescheduling and holidays.
19. Termination of Services
19.1. Lessons will continue until a mutually agreed termination date, with either party having the right to terminate if lessons are no longer beneficial to the student.
19.2. We reserve the right to terminate or suspend your access to our services at our discretion if we believe you have violated these Terms or for any other reason.
19.3. You may terminate tuition by providing at least 2 week’s written notice to the Tuition Business.
19.4 Refunds will not be provided for lessons booked within the 2 week notice period.
19.5. If the Tutor can no longer tutor a Student, Sarah Bridge Tutoring will endeavour to replace the Tutor, subject to availability.
20. GDPR Statement
20.1. Personal data will be securely stored and used only for tuition-related purposes.
20.2. Personal information will not be shared with third parties without explicit consent, except when legally required.
20.3. Clients have the right to request the deletion of their information; however, tuition may cease upon deletion.
21. Privacy
21.1. Our Privacy Policy outlines how we collect, use, and protect your personal information. By using our services, you consent to the practices described in the Privacy Policy.
22. Limitation of Liability
22.1. To the extent permitted by law, we shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from or in any way related to your use of our services, even if we have been advised of the possibility of such damages.
22.2. While Tutors aim for Student progress, they cannot guarantee academic success and are not liable for academic outcomes.
22.3. The Tutor accepts no liability for direct or indirect losses, damages, or errors in learning materials.
23. Changes to Terms
23.1. We reserve the right to update these Terms at any time. Any changes will be posted on our website and will be emailed to the Client.
